Terms of Use

Effective date: October 1, 2026

These Terms of Use (“Terms”) govern your access to and use of the software, websites, and services provided by MolarOps (“we”, “us”, or “our”), including The IPAC Manual and Compliance OS (together, the “Service”). By using the Service, you agree to these Terms.

1. Who may use the Service

The Service is designed for dental practices and related professionals operating in Ontario, Canada. You must be at least 18 years old and have authority to bind the practice or organization you represent. You are responsible for every activity that occurs under your account.

2. What the Service provides

The Service generates a customized Infection Prevention and Control (“IPAC”) manual and offers optional compliance-logging tools. While you use them, Cloud Sync keeps your practice’s compliance record on our servers, as the Privacy Policy describes. We may update features, pricing, or availability from time to time.

3. Licence and permitted use

When you purchase a manual, we grant your practice a non-exclusive, perpetual, non-transferable licence to use, modify, and reproduce that generated manual for the internal operation of your practice. You may not resell, publicly distribute, or sublicense the manual or any part of the Service to third parties, except as required for the ordinary operation of your practice.

4. Purchases, billing, and refunds

The full manual is available as a one-time purchase. The optional compliance-logging subscription is billed on a recurring basis. All prices are in Canadian dollars unless otherwise stated. You are responsible for providing accurate billing information.

All purchases are final. We do not offer refunds, except where required by law. Once a manual has been generated and delivered, it is deemed used and cannot be returned.

5. Compliance-logging subscription

The optional subscription enables the compliance-logging tools, with Cloud Sync of your practice’s record. You may cancel at any time through your account. When a subscription ends, the Service keeps working for 30 days and then stops accepting new work; your inspection binder still opens and still exports, as the Privacy Policy describes. We strongly encourage you to keep your own copies of any generated manual and of your exported binder.

6. Ownership and intellectual property

MolarOps retains all rights, title, and interest in the Service, including its software, designs, trademarks, and documentation. Your generated manual is licensed to you as described above, but a copy is saved with your practice’s account while its owner is signed in, and we may retain one as needed to provide support.

7. Confidentiality of your account

You are responsible for maintaining the security of your account, password, and two-step sign-in authenticator. MolarOps is not responsible for lost data or unauthorized access caused by your failure to protect these credentials.

8. Acceptable use

You agree not to use the Service to:

  • violate any applicable law or regulation, including Ontario health-privacy laws;
  • upload, store, or share patient health information without proper authority;
  • reverse-engineer, scrape, or abuse the Service;
  • interfere with the security or availability of the Service.

9. Disclaimers and professional responsibility

The Service is provided “as is” and “as available”. The generated manual is a template and starting point for your practice’s IPAC program. You are responsible for reviewing, customizing, and validating the manual with your own infection-control lead and appropriate professional advisers. MolarOps does not provide legal, medical, or regulatory advice.

10. Limitation of liability

To the maximum extent permitted by law, MolarOps will not be liable for any indirect, incidental, consequential, special, or punitive damages, including lost profits or data loss, arising from or relating to your use of the Service. Our total liability for any claim will not exceed the amount you paid to us in the twelve months before the event giving rise to the claim.

11. Governing law

These Terms are governed by the laws of the Province of Ontario and the federal laws of Canada applicable therein. Any disputes will be resolved in the courts of Ontario.

12. Changes to these Terms

We may update these Terms from time to time. If we make material changes, we will notify you by email or by posting a notice on the Service. Your continued use of the Service after the effective date of the revised Terms constitutes acceptance.
